BSK Administrative Coordinator
OVERVIEW
For three decades, School’s Out Washington (SOWA) has served a critical role to advance equitable expanded learning ecosystems in Washington State. We work to ensure high-quality afterschool and summer programs are available so all of Washington’s youth—and especially low-income youth and youth of color—can have the opportunities they deserve to thrive. SOWA is dedicated to building responsive community systems to support quality afterschool, youth development, and summer programs for Washington’s children and youth ages 5 through young adulthood.
Position Summary: The BSK Administrative Coordinator provides administrative support for the King County Best Starts for Kids (BSK) Expanded Learning Initiative to coordinate grantmaking and programmatic administrative needs.
Reports to: King County Grants Manager
Location: 625 Andover Park W, STE 101, Tukwila, WA 98188
(Note: Our King County staff may currently choose to work remotely from home or to work from the office. This position will require regular attendance at meetings and events in King County.)
RESPONSIBILITIES:
Best Starts for Kids Grantmaking Support (60%)
- Provide administrative support for grant administration, including contracting documentation, invoicing and payment, and maintenance of grant documentation;
- Track and review grant reporting documents for bi-annual reporting cycles;
- Support with annual grantee contract monitoring process, scheduling monitoring visits and reviewing financial documents;
- Track and maintain grantee information in Elevate Washington database;
- Provide logistical support for meetings with grantees and other external stakeholders, including scheduling and note-taking.
Best Starts for Kids Program Quality Support (30%)
- Manage logistical support for virtual and live trainings as needed, which may include planning, registration, technology, and day-of logistics;
- Maintain Salesforce and Smartsheet database records for training participation and coaching to track grantee engagement;
- Track and support program quality assessment, including creating assessment data reports;
- Manage the distribution of Bridge Conference scholarship promo codes to BSK grantees, and track BSK grantee Bridge Conference registration;
- Coordinate with the SOWA Program Operations Team to implement, inform, and align efficient processes central to the successful operations and administration of trainings and other professional development services;
General Administration (10%)
- Monitor and maintain BSK Grantee contact list and Basecamp grantee communications hub;
- Provide support for Best Starts for Kids Expanded learning special events;
- Provide general support with copying, maintaining filing systems, ordering supplies, and mail service;
- Answer telephone, respond to requests for information and resources, make referrals to outside resources, and provide customer service to visiting providers and other office guests.
Other Responsibilities
- Commitment to addressing racism, sexism, heterosexism and other discriminatory practices;
- Commitment to working toward racial equity through undoing institutional and structural racism, including active participation in organizational learning;
- Participate in related project meetings and bi-weekly staff meetings;
- Serve as an ambassador for the organization at all times both formally and informally;
- Support ongoing organizational cultural competency;
- Write and/or solicit monthly newsletter articles for SOWA’s e-newsletter, as needed;
- Perform other duties as assigned.
QUALIFICATIONS AND COMPETENCIES:
- Two years of related work experience and/or combination of related work experience and education;
- Commitment to working with diverse individuals, groups, communities and organizations;
- Experience working in and/or living in diverse communities preferred;
- Ability to work independently and as part of a collaborative team;
- Strong organizational skills;
- Ability to prioritize multiple tasks;
- Strong computer literacy skills, particularly in Microsoft Suite;
- Proficiency with Salesforce and Smartsheet database systems preferred;
- Must be able to independently travel between work-related appointments;
- Must be able to independently transport training supplies between work-related appointments;
- Requires flexibility in time requirements/constraints; may require some early morning, evening, weekend meetings.
HOURS AND BENEFITS:
40 hours per week, Monday-Friday Fair Labor Standards Act (FLSA) Classification: Non-exempt
Hiring range: Pay band 22, $53,500-$61,000 annual salary range based on relevant experience. Over time, the employee in this role may earn up to $69,000 per year with additional years of service.
